Golden Sample Approval for Repeat Sign Production

A golden sample is an approved physical reference for later production. It is useful only when the approval record identifies exactly what it controls: finish, geometry, illumination, assembly or a defined combination. A sample without its drawing revision can become a misleading reference as a sign program changes.

Create a bounded approval record

Give the sample an identifier, approval date and drawing revision. Record the material and finish references alongside photographs. Mark any exceptions clearly: a sample made to review paint should not silently approve a different fixing system or LED arrangement. Separate accepted features from work still to be resolved.

Use comparable viewing conditions

Review surface appearance under agreed lighting and from the intended viewing distance. For illuminated samples, record the power arrangement, background and viewing conditions. A phone photograph is useful for traceability but does not reproduce color or brightness reliably enough to replace the agreed physical reference.

Decide who retains which reference

A retained sample at the factory and a corresponding buyer sample can help resolve later questions. Identify whether both were approved together. Protect exposed surfaces during storage and record damage or fading so an altered reference is not treated as a new production target. Keep the drawings and material records even if the physical sample is lost.

Control substitutions and replacements

Define which changes require a new sample: a visible finish change, a different face material or a revised illumination arrangement may affect the approved result. Replacing the reference needs a documented decision and an effective production batch. Do not approve a substitute only through a new supplier part number with no explanation of its effect.

Buyer review checklist

  • Sample ID and drawing revision
  • Features included in approval
  • Known exceptions and corrective actions
  • Viewing conditions and photographs
  • Retention location and condition
  • Change and replacement approval route

Does a golden sample replace inspection?

No. It supplies a reference for the characteristics it represents. Dimensions, quantity, electrical configuration and packing still need their own acceptance checks.
